Case Study #6: 320 Room Chain Hotel
Providing excellent service to hotel guests
A very well known hotel chain was opening up a new location, and construction was nearly complete. Naturally, a phone system would have to be in place before opening day, to accommodate a back office for taking reservations, as well as phones in each room. Keeping the guests happy is a top priority, and part of that mission is making sure that each guest has seamless phone service.
The challenge
The new hotel was to have 320 rooms, and each room would need to have a phone with voicemail. In addition, the hotel management required an attendant console, and six system phones for various administrative positions. Seven other small system phones would be required for each department (bar, housekeeping, maintenance, gift shop, bell desk, and two in the restaurant). For emergency preparation, six additional hotlines needed to be located in the elevators, and an emergency hotline for the swimming pool area. Four additional courtesy phones would be needed in the lobby, pool, gym, and ballroom; and three fax machines would also be required.
In addition to the challenges inherent in provisioning a large system, we were also tasked with coming up with a system that would be inexpensive both on an initial install basis, and an ongoing monthly basis, while providing as many additional services as possible for the hotel's staff and guests.
The solution
The hotel had received multiple bids, and we were able to offer the least expensive option with a Panasonic TDE-600. The VoIP system resulted in substantial savings on long distance and Internet services. As with many hotels, long distance phone services for guests represents an additional revenue stream, and so lowering the cost of provisioning that service results in higher margins, a big positive for the hotel. Phone and Internet services for the hotel were just $600 per month, with unlimited long distance. We provisioned a dynamically allocated T1, with 24 SIP channels and Direct Inward Dialing (DID), with an additional 1.544 Mbps channel for the Hotel Internet service.
The cost
The total cost for the system was $51,141, nearly $22,000 less than the next lowest competitive bid.
